Product overview
What are public forms?¶
Public forms allow you to collect and verify information from external users (clients, partners, prospects, collaborators, etc.) without requiring them to create an account or log in to the TrustDocHub application.
A public form is accessible via a unique link, which you can freely share. Submitted data is then centralized and analyzed directly in your TrustDocHub workspace, according to your subscription level.
Use cases¶
Public forms are particularly well suited for the following situations:
- KYC / KYB: collection of identity documents and client information
- Client onboarding: secure collection of supporting documents
- Remote document verification (clients, freelancers, partners)
- Administrative files (insurance, real estate, finance, compliance)
- One-time document collection without granting access to the application
They help simplify exchanges, avoid email or messaging transfers, and reduce risks related to the handling of sensitive documents.

Features¶
The form¶
A public form is created from your TrustDocHub workspace.
It includes:
- a name (visible to the end user),
- an optional description,
- a predefined field structure,
- an associated verification level (depending on your plan).
Each form can be reused to generate multiple public links.
Public links¶
Public links are unique URLs associated with a form.
For each link, you can define:
- an internal label (not visible to the user),
- an expiration date (optional),
- a maximum number of submissions,
- activation or archiving of the link.
- A link can be:
- shared (email, website, QR code, etc.),
- temporarily disabled,
- archived when no longer needed.
Available fields¶
Depending on the configured form, available fields may include:
- Text fields (last name, first name, additional information),
- Email address (with optional uniqueness checks),
- File uploads (identity document, proof, PDF or image file),
- Required or optional fields depending on context.
Validity checks are applied automatically (formats, file size, required fields).
Results¶
Each submission generates an actionable result within TrustDocHub:
- access to user-submitted data,
- automatic analysis of provided documents (according to the verification level),
- submission history by form and by link,
- processing status tracking.
Results are centralized and accessible from your dashboard, making compliance and case tracking easier.
Conclusion¶
Public forms are a powerful tool for collecting, verifying, and centralizing sensitive information, without adding complexity for your external users.
They provide:
- a simple and secure experience,
- full control over access and quotas,
- seamless integration with TrustDocHub analyses.
This is the ideal solution to modernize your document collection processes while strengthening compliance and security.
